As a member of the Property Services Team, the Maintenance Supervisor is a vital component of our company’s day-to-day impression on existing tenants and prospective tenants. This role will focus on the management and completion of preventative and corrective work orders, customer service and documentation. As such, the Maintenance Supervisor is expected to maintain a high level of quality customer service and professionalism. Essential duties and responsibilities include the following but are not necessarily limited to those listed.
Essential Job Functions
• Assists Facilities Manager with overseeing the day-to-day activities of the properties
• Assists Facilities Manager in all aspects of the property’s maintenance, including grounds, custodial, preventive, corrective, deferred and emergency maintenance
• Assists Facilities Manager with hiring, training, supervising, and motivating the maintenance staff
• Assists Facilities Manager with procuring bids and proposals when needed
• Maintains relationships with suppliers, vendors, and professionals servicing the company or property.
• Maintains relationships with tenants and owners of properties
• Assists in meeting, supervising, and giving direction to vendors and contractors and reporting back to management after the repairs have been completed
• Participates in maintenance projects as needed
• Establishes and maintains a professional courteous manner with all tenants, vendors, contractors, and fellow employees
• Makes regular inspections of the properties under direction of Facilities Manager
• Notifies management of maintenance problems and recommended solutions
• Assists in preparation of all maintenance related records
• Meets with Facilities Manager to report on status of all scheduled work
• Makes recommendations for contract services and supervises contract maintenance workers
• Completes daily schedules of the maintenance staff including all monthly and yearly preventive maintenance schedule items
• Ensure preventative maintenance programs are effective and completed in a timely manner by maintenance technicians
• Assist with organizing workflow and ensuring maintenance technicians understand their duties and delegated tasks
• Completes service ticket information accurately and in a timely manner
• Performs day-to-day building maintenance duties, and makes recommendations to Management regarding replacement versus repair
• Practice and ensures all contractors, vendors, and maintenance technicians are following all safety protocols
• Working knowledge of life safety systems, emergency generators, fire panels, plumbing, electrical, HVAC, and property maintenance
• General knowledge of kitchen grease traps, backflow preventers, and kitchen hoods
• Has thorough knowledge of all locations of power, water and gas turn-offs, plumbing cleanouts, fire extinguishers and fire hydrants associated with each property
• Assists other maintenance technicians and property managers with jobs on their buildings or properties as needed
• Follow up on work assignments for efficient, thorough completion of each assignment by maintenance technicians and contractors
• Assists the Facilities Manager with inventory control and utilization of maintenance materials and supplies
• Understands the importance of “team spirit” and works well with other team members
• Makes suggestions to Facilities Manager and Property Managers for improved service and efficiency
• Responsible for the upkeep of all tools provided by Biltmore Farms
• Responsible for ensuring all maintenance vehicles are being properly serviced
• Performs service requests in a timely manner with “same day completion” in mind
• Maintains a professional appearance and displays professional behavior at all times
• Reports any unusual or extraordinary circumstances regarding the properties or tenants
• Be observant and proactive while at each property to reduce tenant maintenance requests and improve efficiency
• Must be able to work flexible hours including early morning, late evening or weekends
• Pays close attention to any safety issues and reports them to the management in a timely manner
• Performs other special projects or duties as required by management
• Participates in the emergency on-call rotation as scheduled.
• Assists with all snow removal activities
• Consistently demonstrates forward vision and submit ideas and suggestions to improve operations, service, and profitability of the department and company
• Maintenance Supervisor would spend 75% of time working in the field and 25% of time completing administrative tasks, such as personnel scheduling, contract negotiations, bid and proposal preparation as needed by Facilities Manager.

Knowledge, Skills, Education/Experience
• High school education or GED required
• Must have valid driver’s license
• Ability to make decisions in situations where supervisor may not be available for consultation
• Follow established company policies and those outlined in the Employee Handbook
• Ability to prioritize work schedule; follow-up on assignments in a timely manner
• Ability to communicate effectively with management and tenants
• Maintain professional attire and appearance per company standards
• Must have good safety habits and ability to take necessary action in emergency situations
• Ability to apply, read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
